Privacy Policy — So Chic Financial Solutions

Legal entity: So Chic Financial Solutions (“So Chic,” “we,” “us,” or “our”)

This Privacy Policy explains how we collect, use, disclose, and protect Personal Information when you use our website, complete our intake forms (including forms hosted on Jotform), or engage our tax preparation, planning, and related services (the “Services”).

By using our Services, you agree to this Policy. If you do not agree, please do not use the Services.

1) Information We Collect

We collect information you provide directly, information collected automatically, and information from third parties (with your authorization).

A. Information you provide

  • Identifiers & contact: full name, email, phone, address, date of birth.

  • Government IDs: Social Security Number, ITIN, driver’s license/state ID, passport (as applicable).

  • Tax & financial: income details (W-2, 1099, K-1), bank account info for direct deposit, deductions/credits, dependents, employer and payroll details, prior returns.

  • Employment/business: EIN, entity details, bookkeeping records, receipts.

  • Household/dependents: names, SSNs/ITINs, dates of birth, relationship status, custody/household information.

  • Documents & uploads: PDFs, images, spreadsheets, signatures, e-sign acknowledgments.

  • Communications: notes from calls, emails, text messages, and chat.

Sensitive Personal Information: Some items above (e.g., SSN, financial account numbers) are “sensitive.” We use them only to provide Services, fulfill legal/IRS/state requirements, prevent fraud, and as otherwise permitted by law.

B. Information collected automatically

  • Technical data: IP address, device/browser type, pages viewed, time/date, referring pages, approximate location (from IP), session analytics, and cookies or similar technologies (see “Cookies & Tracking” below).

C. Information from third parties

  • With your authorization, we may receive information from employers, payroll providers, financial institutions, prior preparers, credit bureaus, or public databases to verify identity, confirm income, or complete your return.

 

2) How We Use Personal Information

We use your information to:

  1. Provide Services: prepare and file federal/state returns, amendments, refunds, and tax planning.

  2. Verify identity & prevent fraud: authenticate users and protect accounts.

  3. Communicate: appointment reminders, document requests, e-signature, status updates, support.

  4. Compliance & legal: IRS/state reporting, recordkeeping, audits, lawful requests, dispute resolution.

  5. Improve Services & site: quality assurance, training, troubleshooting, analytics.

  6. Marketing (optional): send service updates or promotions (you can opt out at any time).

 

We do not use sensitive information for advertising or to infer unrelated characteristics.

 

3) Legal Bases / Authority

While U.S. laws may not require a “legal basis,” our uses are grounded in:

  • Contract (to provide Services you request),

  • Legal obligations (IRS/state rules, FTC Safeguards Rule, GLBA), and

  • Legitimate interests/consent (e.g., fraud prevention, communications, optional marketing).

4) How We Share Information

We may disclose Personal Information to:

  • Service providers/Processors (bound by contract to protect data): e-signature tools, form platforms (e.g., Jotform), secure file storage, email/SMS vendors, scheduling, payment processors, IT/security, and professional advisors.

  • Tax authorities & regulators: IRS, state taxing agencies, or law enforcement as required.

  • Financial institutions: to process refunds or payments (e.g., direct deposit).

  • Business transfers: in connection with a merger, acquisition, or asset sale (with safeguards).

  • With your direction/consent.

We do not sell Personal Information and do not share it for cross-context behavioral advertising.

5) Jotform-Specific Disclosure

We use Jotform to collect and manage intake data and document uploads. When you submit a Jotform, your information is transmitted to and stored on Jotform’s systems, and then accessed by So Chic to provide Services. Jotform acts as our data processor/service provider; So Chic remains the data controller/business responsible for your data.

  • We configure Jotform with reasonable security settings (e.g., SSL transmission) and restrict access to authorized personnel.

  • Jotform may process data on servers located in the U.S. or other locations. Please review Jotform’s own privacy and security statements for details on their practices.

 

6) Cookies & Tracking

We (and our providers) may use cookies, pixels, and similar tools to operate the site, keep you signed in, remember preferences, and understand usage.

  • Your choices: You can manage cookies via your browser settings. Disabling some cookies may impact site functionality.

  • Do Not Track: We do not currently respond to browser DNT signals.

 

7) Data Security

We implement administrative, technical, and physical safeguards designed to protect Personal Information (e.g., access controls, encryption in transit, least-privilege access, training). No system can be guaranteed 100% secure.

8) Data Retention

To meet tax and legal requirements, we generally retain records for at least 7 years (or longer if required by law, for active disputes/litigation, or to satisfy IRS/state retention rules). When retention periods lapse, we securely delete or de-identify information.

9) Your Privacy Rights & Choices

Depending on your state (e.g., CA, CO, CT, VA), you may have rights to access, correct, delete, or receive a copy of certain Personal Information, and to limit certain uses of Sensitive Personal Information.

  • Verification: We will verify your identity (e.g., matching known information).

  • Authorized agents: You may designate an agent; we may require proof of authorization.

  • Marketing opt-out: Click “unsubscribe” in emails or reply STOP to texts to opt-out of SMS. Message/data rates may apply.

We do not discriminate against you for exercising your rights.

10) Children’s Privacy

Our Services are not directed to children under 13. We do not knowingly collect information from children under 13 without appropriate parental consent.

We are U.S.-based. If you access our Services from outside the U.S., your information may be transferred to and processed in the U.S., where laws may be different from your country of residence.

12) Changes to This Policy

We may update this Policy from time to time. Changes will be posted with a revised “Effective date.” Material changes will be highlighted or otherwise communicated where required.
